How the File Library works

The GreenSpacePro File Library provides you a view of all your files that are attached to project tasks and locations in one convenient place.

The files in your File Library are a combination of files linked to your Dropbox, Google Drive, or Microsoft OneDrive account, as well as files that you have directly uploaded to GreenSpacePro from your desktop.


Adding files to the File Library

The best way to add files to your File Library is to attach the file to a project task or location.

While you can attach a file by uploading the file from your desktop, we recommend that you add files from your company Dropbox, Google Drive, or Microsoft OneDrive account to a GreenSpacePro project task or location.

Attaching files from your company's Dropbox, Google Drive, or Microsoft OneDrive ensures that your team always has access to the most recent version in GreenSpacePro.


Once a file is attached to a project task or location it will automatically appear in your GreenSpacePro File Library.


Adding Due Dates and Assigning Team Members to Files

When you click on a file in your File Library to view more details you can add a due date and assign team members to that file.

For example, attach a copy of your state license to a location in GreenSpacePro. Then assign a due date and a team member to that file so that they get email and app reminders to renew that license on time.


File Notifications and Warnings

When you set a due date for a file, the person assigned to that file will receive email and app notifications 90, 60, 45, 30, 15, 7, and 1 day(s) out from the file due date.

Additionally, a warning icon will appear next the file starting at 7 days out from the due date.


File Notifications in your To-Dos and Messages

Notifications for due files will appear in your To-Dos and Messages sections on your Home Screen.

Checking a file in your To-Dos list as complete only removes the file notification from the To-Dos list - until the next notification date. Checking a file as complete will not change the due date or stop future notifications.


You will also receive file notifications in your Messages section.


File Passwords and Permissions

When a file that has been password-protected or sharing restricted in your Dropbox, Google Drive, or Microsoft OneDrive account is attached to a GreenSpacePro project task or location, that file will not be accessible to GreenSpacePro team members unless you have also granted those users access to the file in your Dropbox, Google Drive, or Microsoft OneDrive account.
